Terms and Conditions

These Terms and Conditions apply to services provided by Meadowside Veterinary Clinic. By registering with the practice or using our services, you agree to these terms.

Veterinary Services

Veterinary services are provided by qualified veterinary surgeons and veterinary professionals in accordance with applicable law, professional obligations, and guidance issued by the Royal College of Veterinary Surgeons.

Clinical advice and treatment decisions are based on the veterinary surgeon’s professional judgement and the information available at the time of consultation.

Appointments

Appointments may be booked through our website, PetsApp, telephone, or in person.

If you are unable to attend a scheduled appointment, please let us know as soon as possible so that the appointment can be offered to another client.

We reserve the right to charge for missed appointments or late cancellations where appropriate. Any such charges will be made clear in advance.

Fees and Payment

Fees are charged for consultations, treatments, procedures, diagnostics, hospitalisation, medicines, and other services provided by the practice.

Payment is normally required at the time of treatment unless otherwise agreed in advance.

We aim to be transparent about our fees. Information about consultation fees and other common services is available on our website or on request. If an exact price cannot be given in advance, we will explain how charges are likely to be calculated.

Estimates

We aim to provide an estimate for investigations, procedures, or treatment where reasonably possible.

Estimates are guides only and are not fixed quotations. Final costs may change if your pet’s condition requires additional treatment, medication, hospitalisation, or diagnostics. Where reasonably possible, we will keep you informed of significant changes to expected costs.

Insurance Claims

If your pet is insured, you remain responsible for payment of all fees charged by the practice unless we have agreed otherwise in writing.

We may assist with insurance claim forms or direct claims where appropriate. Any such arrangement remains subject to the terms of your insurance policy and the insurer’s decision.

Prescriptions and Medicines

Prescriptions for veterinary medicines may be provided in accordance with legal and professional requirements.

You may request a written prescription and obtain medicines from another veterinary practice or pharmacy. A reasonable prescription fee may apply.

Where medicines are prescribed, we can provide price information on request. Repeat prescriptions or repeat medication may require your pet to be re-examined at intervals determined by the veterinary surgeon and in accordance with legal and professional requirements.

Referrals and Out-of-Hours Care

Where advanced investigations, procedures, or specialist treatment are required, we may recommend referral to another veterinary practice or referral centre.

When the clinic is closed, emergency and out-of-hours care may be provided by an external veterinary provider. Details of these arrangements will be available on our website and through our practice communications.

Client Responsibilities

Clients are responsible for providing accurate and complete information about their pet, including medical history, current medication, and any relevant behavioural information.

For safety reasons, pets attending the clinic must be appropriately restrained, for example by lead, harness, carrier, or other suitable means.

Clients are also responsible for ensuring that they have authority to consent to treatment and to incur charges for the animal presented.

Clinical Records

We keep clinical and client records in accordance with our legal and professional obligations. Copies of relevant records may be provided on request, subject to any applicable legal or professional requirements.

Complaints

If you are unhappy with any aspect of the service provided, please contact the practice in the first instance so that we can investigate and try to resolve the matter promptly.

If a complaint cannot be resolved directly with the practice, independent mediation may be available through the Veterinary Client Mediation Service. Concerns relating to serious professional misconduct may also be raised with the Royal College of Veterinary Surgeons.

Data Protection

Personal data is handled in accordance with our Privacy Policy and applicable data protection legislation.

Changes to These Terms

We may update these Terms and Conditions from time to time. The latest version will always be available on our website.

Governing Law

These Terms and Conditions are governed by the laws of England and Wales.
